Privacy Policy
Last updated: 1 October 2026
This policy explains what NovaTech Systems Group Ltd does with the information you send us through this website. It covers the enquiry and project assessment forms and any email you send us. It does not cover services we deliver under a separate agreement.
Who we are
NovaTech Systems Group Ltd is a UK technology company based in Motherwell, Scotland. We are the data controller for information submitted through this website, which means we decide why and how it is used.
You can reach us at [email protected].
What we collect
We only collect information you choose to send us. Depending on which form you use, that can include:
- your name and email address;
- your company name and phone number, if you add them;
- the service or topic you select;
- your message, and any further answers you give in a project assessment, such as your industry, current systems, timeline or requirements.
How we collect it
Information reaches us when you submit a form or send us an email. This website does not set cookies, does not run advertising or analytics trackers and does not store anything in your browser. See our Cookie Policy for details.
Why we use it
We use your information to read and answer your enquiry, to arrange a call if you ask for one, to keep a record of our correspondence and, in general terms, to understand what people ask us for so we can describe our services better.
We do not sell your information and we do not send marketing emails. We only contact you about the enquiry you raised.
Our legal basis
Where you tick the consent box on a form, we rely on that consent to contact you. We also rely on the legal basis of taking steps at your request before entering into a contract, for example when you ask us to prepare a proposal.
You can withdraw consent at any time by emailing us. Withdrawing it does not affect contact you have already asked us to make.
Where your information is stored
Form submissions travel over an encrypted HTTPS connection to our website server. The server sends the enquiry by email through our SMTP mail server to the team inbox and forwards it through a secure workflow webhook to Twenty CRM so we can manage and respond to the enquiry. We do not publish an advertising or tracking pixel anywhere on this site.
Our mail and CRM providers process this information only to deliver and manage the enquiry. We keep a list of the named providers we use and will confirm it to you on request.
How long we keep it
We keep enquiry records only for as long as needed to respond to you and to maintain a sensible record of our dealings. If you ask us to delete your information and we have no legal reason to keep it, we delete it and confirm that we have done so.
Sharing and transfers
Beyond the providers described above, we only share information when you give us permission or when we are required to by law.
Our systems may process information outside the UK. Where they do, we use providers that rely on UK-approved data protection terms.
Your rights
Under UK data protection law you can ask to:
- access the information we hold about you;
- have anything incorrect corrected;
- have your information deleted;
- restrict or object to how we use it;
- receive the information you gave us in a usable format;
- withdraw consent for us to contact you.
Security
We limit access to enquiry data to the people who need it to reply to you, and we keep the forms as simple as they need to be: they collect the minimum required to start a conversation. Email is never completely secure, so please do not send sensitive information such as payment card details or health data through our forms.
Complaints
Please contact us first and we will sort out what we can. If you remain unhappy with how we have handled your information, you can complain to the Information Commissioner's Office in the UK at ico.org.uk.
Changes to this policy
When we change this page we update the date at the top. Material changes will be reflected here before we start using your information in a new way.
Questions
If anything here is unclear, or you want to exercise a right or ask how your information has been handled, email [email protected] and we will answer directly.
